Overview

Apostille and Notary Services for Fisher Island, Star Island, Hibiscus Island, and Palm Island

An apostille is a government certification, not something issued by a private company. It is granted either by a state's Secretary of State or, for federal documents, by the U.S. Department of State. The process involves four stages: reviewing the document and confirming eligibility, completing any required notarization, submitting to the correct issuing authority, and returning the finished document to the client. An apostille certifies the official signature, capacity, and seal on the document — not its content. Whether an apostille is recognized depends on the Hague Convention being in force between the issuing and receiving states, and on the receiving authority's own requirements.

State vs. Federal

State Apostilles vs. Federal Apostilles

Documents issued by a state agency — such as a birth certificate, marriage certificate, or notarized power of attorney — are apostilled by that state's Secretary of State. A Florida-issued document is apostilled in Tallahassee; a document issued in another state must be apostilled by that state instead.

Documents issued by a federal agency — such as FBI background checks, USCIS records, or certain IRS and USPTO documents — require a federal apostille from the U.S. Department of State in Washington, D.C. A state office cannot apostille a federal document. USCIS and USPTO documents must be official originals or agency-certified copies in eligible form; downloaded copies are not the same as agency-certified documents.

Vital Records

Birth, Marriage, and Divorce Certificate Apostilles

Birth certificates, marriage certificates, and divorce decrees are frequently apostilled for island residents pursuing dual citizenship, family-based immigration, or recognition of civil status abroad. Only a certified copy issued by the state's vital records office or clerk of court qualifies for apostille — notarized photocopies are not accepted for these document types.

Vital records issued in a state other than Florida must be apostilled by that state's Secretary of State, since each state can only apostille documents it issued.

FBI

FBI Background Check Apostille

FBI Identity History Summary reports are federal documents and require a federal apostille from the U.S. Department of State in Washington, D.C. — a Florida state apostille cannot be attached to an FBI report. This is a common requirement for island residents applying for residency, citizenship, or background verification abroad.

An FBI Identity History Summary is a personal criminal history record — distinct from agency-specific employment or professional licensing background checks. Confirm which type your receiving authority requires. U.S. citizens and lawful permanent residents physically present in the U.S. or its territories may use an approved channeler; non-citizens or those overseas have direct FBI submission options. We assist start to finish: fingerprint capture, FBI Identity History Summary request guidance, and federal apostille coordination. We do not issue FBI reports — those are issued by the FBI.

Academic

Diploma and Transcript Apostilles

Diplomas and academic transcripts are apostilled for continued education abroad, professional licensing, or employment outside the United States. Preparation depends on the issuing institution and state: a registrar-certified true copy may be accepted, or a notarized statement from the registrar may be required. Registrar certification alone is not automatically sufficient for all receiving authorities. A Florida Notary Public cannot attest copies of Florida public school records.

Professional licenses can be apostilled when issued or certified by the relevant agency in eligible form. Confirm the specific format and certification requirements with the requesting authority before submission.

Corporate, Real Estate & Estate

Real Estate, Corporate, and Estate Planning Document Apostilles

Real estate transaction documents, corporate filings, and estate planning records are among the document types most requested by residents of these islands, given the concentration of international property ownership and business interests. This includes purchase agreements, closing documents, Certificates of Good Standing, corporate resolutions, and trust or will documentation involving beneficiaries abroad. State-filed corporate documents are typically issuer-certified; privately signed documents require proper notarization where applicable.

Wills and trusts can be apostilled depending on the document and the requirements of the country where they will be used. An apostille authenticates the official signature, capacity, and seal — not the document's content — and does not guarantee substantive validity under the receiving country's law. Formalities vary by jurisdiction.

Real estate closing documents and deeds can be apostilled for international property transactions. These documents generally require notarization. Whether recording with the county is required before apostille depends on document type and jurisdiction — it is not a blanket prerequisite for all real estate apostilles.

Powers of attorney are frequently apostilled for residents who need a representative to handle a real estate closing, banking matter, or family affair abroad. A power of attorney must be notarized before it becomes eligible for apostille. Remote Online Notarization (RON) is available — eligible signers can be anywhere in the world — subject to identity verification, witness, document, and recipient-country rules. POA drafting, scope, and revocation depend on governing law and the receiving authority's requirements; consult a licensed attorney.

Vessel & Marina Documents

Vessel and Marina-Related Document Apostilles

Documents related to vessel ownership, registration, and sale are sometimes apostilled for international transactions or ownership transfers. The applicable authority depends on whether the document is state-issued, federally issued, or a privately signed instrument — each follows its own certification and apostille route. Confirm the document type and issuing authority before beginning the process.

Court Documents

Court Judgments and Legal Document Apostilles

Court judgments and sworn affidavits can be apostilled for use in foreign legal proceedings, provided they are certified copies from the issuing court or properly notarized.
