Iowa's current certificate format
- Iowa adopted a single certificate format in 2025. Its plain-paper format replaced the older gold-seal paper.
- The certificate is not automatically a Hague apostille for every destination; additional legalization may be needed.
- Confirm the receiving authority's requirements before submission.
Birth, death and marriage records
- Iowa HHS and county recorders supply certified vital records. County recorders can issue births from 1986 onward and deaths and marriages from 1954 onward; older records have location-specific rules.
- Check eligibility before ordering. For online orders, HHS identifies VitalChek as its authorized vendor; its pickup option requires physical collection in Des Moines and an Iowa address.
Divorce decrees and other court records
- Contact the clerk of court in the county where the case is on file. Identify the final decree or order you need and request the appropriate certified version for overseas use.
- Ask about access restrictions, fees and delivery.
- A docket search helps locate a case but should not be confused with the document the foreign recipient requests.
School and private documents
- Before ordering a diploma or transcript for overseas use, ask the registrar what certification or notarization it can provide and compare that with the recipient's instructions. Do not assume an ordinary electronic transcript completes the international process.
- For a power of attorney or affidavit, send the unsigned document for preparation review before arranging notarization.
- Corporate documents also need a review of the issuing office and the particular certification requested.
Copies, upload and return delivery
- Iowa accepts a document copy with its request form and recommends retaining the original.
- Standard return is USPS unless a prepaid shipping label is supplied. Check the official page for current walk-in hours and mailing instructions.
