Montana apostille services and document preparation

In Montana, a diploma copy and a school transcript follow different preparation steps. A marriage certificate also comes from a different office than a state index search. Miami Dade Apostille helps review these distinctions and coordinate vital, court, school, corporate and notarized private documents for international use. Before you start

  1. Identify the document type and the office that issued it.
  2. Confirm the destination country's treaty relationship and the receiving authority's requirements.

Check the Montana signature and destination

  • Montana authenticates eligible Montana notarial and official signatures, not the accuracy of a document's contents.
  • Its universal certificate can serve as an apostille or authentication; destination requirements still determine whether further legalization is needed.
  • The state recommends recently issued certified public records, preferably within five years. This is not a blanket expiration date for every document.
  • A notary's signature and stamp alone are insufficient without the proper notarial certificate.

Birth and death certificates: order the right format

  • For mailed orders, follow the application's identity requirements: a valid ID copy or notarized application is required.
  • Applications are not accepted by email.
  • Long-form birth certificates must come from the state office in Helena or the Clerk & Recorder in the county of birth, rather than any county office.
  • An authorized family member requesting a record may need proof of relationship.
  • Confirm eligibility and the required certificate format before ordering.

Coordinate Vital Records and the Secretary of State

  • Mark your vital-record application for apostille use.
  • Vital Records issues a long form for birth or death certificates requested for this purpose.
  • Contact the Secretary of State so it expects the record or search letter.
  • The record fee and authentication fee are separate: do not combine checks or money orders for the two agencies.
  • Ordering the underlying certificate alone does not complete authentication.

Marriage certificates and divorce decrees are county records

  • Request the certified document from the Clerk of District Court where the record was filed.
  • For marriage, use the county where the license was purchased, which may differ from the ceremony location.
  • The state maintains an index from 1943 onward; an index search can help identify the county or confirm a recorded event, but it does not supply the certified certificate or decree.
  • This distinction matters when a foreign recipient specifically requests the full legal record.

Transcripts and diplomas have different preparation steps

  • A transcript requires certification by an authorized school official followed by notarization of that official's signature.
  • Montana's guidance treats diplomas differently: a Montana notary can make and certify a copy when presented with the original diploma.
  • For K–12 report cards and attendance records, use the school-official certification process.
  • Home-school records may need additional documentation — contact the state's Notary & Certifications Division early for instructions specific to the student.
  • Confirm the receiving school or authority's requirements as well.

State request, delivery and appointments

  • The request form asks for the destination country, contact information, signature and payment, together with a stamped return envelope.
  • Use the current form to calculate the fee.
  • For courier delivery, consult the state's main apostille page for current instructions.

Pre-checks, electronic documents and federal records

  • The state offers pre-checks for notarized documents and requires pre-checking before scheduling same-day appointments.
  • Its guidance permits electronically notarized documents under its stated submission rules — confirm the particular file and delivery method.
  • Montana cannot authenticate FBI reports or other federal-agency records; those require the federal route.
  • Keep the issued certificate attached to its underlying document.
  • Florida remote online notarization may be available for eligible private documents, subject to identity, witness, document and recipient requirements. It follows the applicable Florida route and does not replace Montana public-record certification.
