Start with the issuing authority and destination
- An apostille authenticates an official signature or seal; it does not verify the contents or guarantee that a foreign recipient will accept a document for every purpose.
- Confirm the exact record, required language and document age with the receiving authority.
- Where the Apostille Convention applies with the United States, use the appropriate apostille route.
- Other destinations may require authentication and additional legalization.
- A Florida document, an out-of-state record and a federal background check may need different offices even when their owner lives in Calhoun County.
Florida birth, death and marriage records
- The Florida Department of State accepts qualifying birth and death certificates bearing the State Registrar's signature from the Bureau of Vital Statistics or county health department.
- Marriage and dissolution certificates may come from the Bureau or the appropriate court clerk.
- A notary-certified photocopy cannot replace a properly certified public record.
- If the recipient asks for a divorce decree, check whether it needs the complete court judgment rather than a vital-record certificate summarizing the event.
Birth records: use the Health Department on State Road 20
- Calhoun's birth-certificate instructions offer online ordering through VitalChek, mail requests and in-person service.
- Applications require the birth details and a valid, unexpired photo ID; mailed requests need a clear ID copy.
- Eligibility rules still apply.
- The office lists 19611 SR 20 W, Blountstown, FL 32424 and 850-674-5645.
- Confirm current certificate service arrangements before traveling.
- Birth records sealed because of adoption, paternity determination or court order must be requested through the Bureau of Vital Statistics in Jacksonville under the county's guidance.
- Authentication does not remove those access restrictions.
Death records: ask which certificate version is required
- The county's death-record guidance distinguishes certificates with and without cause of death.
- A copy without cause of death is a public record; access to cause-of-death information requires eligibility and supporting identification or documentation.
- Relevant eligible categories include qualifying family members, documented beneficiaries and estate administrators.
- Have the deceased person's full name, date of death and county of death available.
- Ask the receiving authority which version it needs, then confirm with Vital Statistics what you can obtain.
- The apostille authenticates the certification; it does not supply omitted information or grant access to a confidential record.
Marriage certificates: wait for the completed record to be filed
- A license issued before a ceremony is different from the recorded certificate showing the completed marriage.
- Calhoun's Clerk explains that a certified marriage copy follows the officiant's return of the completed record for recording, with additional certified copies available.
- If you recently married and need the document abroad, confirm that recording is complete before arranging authentication.

- Ask for the specific certified record requested by the foreign recipient and confirm current ordering instructions.
- A private notarized photocopy is not a replacement for the Clerk's certification.
Court records and Official Records have separate searches
- The Clerk provides separate searches for court case documents and Official Records, including recorded deeds, liens, marriage licenses, mortgages and judgments.
- Locate the requested item, then ask for a certified copy.
- An online download is not automatically certified for apostille.
- Contact the Clerk if an image is unavailable; restricted records may require additional authorization.
Plan Clerk visits and calls in Central Time
- The Clerk lists its office at 20859 Central Avenue E., Room 130, Blountstown, FL 32424.
- Its published hours are Monday through Friday, 8 a.m. to 4 p.m. Central Time.
- Call 850-674-4545 or email [email protected] to confirm record-copy arrangements and current availability.
- Specify the local time when coordinating from Miami.
- This courthouse address is separate from the Health Department's State Road 20 office and from the Florida Department of State apostille office in Tallahassee.
- Choose the custodian based on your record, not simply the closest office.
Private documents, school transcripts and business records
- Florida public-school or university transcripts need a registrar or issuing official's signature and notarization with a full notarial statement under state guidance.
- For affidavits, powers of attorney and other private documents, confirm the required signing and notarial certificate before execution.
- Florida business filings need an original state-issued certified copy or certificate of status rather than a simple online printout.
- Each item should be reviewed individually so that the certification fits the document being submitted.
Notarization and apostille are different steps
- Notarization prepares an eligible private document; it does not produce an apostille.
- We can discuss remote online notarization after checking identity, witnesses, document suitability and recipient requirements.
- It does not replace official certification of a public record.
- Confirm preparation before signing or sending originals.
FBI reports follow the federal route
- An FBI background check is a federal record and goes through the U.S. Department of State authentication process, not a Florida state apostille submission.
- A local court record is not the same document as an FBI report.
- If your overseas application asks for several records, share the complete list so we can coordinate state and federal submissions separately and help avoid sending the entire package to the wrong authority.
