Massachusetts apostille services and document preparation

A Massachusetts birth certificate, court record and school transcript need different preparation. Miami Dade Apostille can review your document, destination and deadline and coordinate the appropriate process. Before you start

  1. Identify the document type and the office that issued it.
  2. Confirm the destination country's treaty relationship and the receiving authority's requirements.
  3. Send us a scan for preparation review before committing originals.

Start with the eligible original signature

  • The Secretary of the Commonwealth authenticates eligible Massachusetts official and notarial signatures.
  • Photocopied signatures are not accepted.
  • The request form also excludes notarized copies of government-issued records, including Massachusetts, other-state and federal records.
  • Obtain the proper issuing-office record instead of adding a notary stamp to a photocopy.

Birth, marriage and death certificates

  • The Registry of Vital Records and Statistics holds state birth, death and marriage records from 1931 onward; earlier records are held by the Massachusetts Archives.
  • Confirm the record period and current ordering requirements before requesting a copy.
  • A city or town clerk can also provide applicable locally recorded certificates.

Choose the correct divorce document

  • Request a certified copy from the Probate and Family Court where the case was handled.
  • The court lists a certificate of divorce absolute, a judgment of divorce nisi and a separation agreement as separate records — confirm which one the receiving authority requires.
  • Use the docket number and Request for Copies form; mail or bring the request and payment to the courthouse.
  • If the docket number is unknown, the court can help locate the case.

Prepare school and private documents

  • For a Massachusetts diploma or transcript, the state brochure directs the school registrar to certify the record before a notary, who then notarizes the registrar's signature. Both steps are required.
  • Out-of-state school records belong with their state of origin.
  • For private documents, confirm the required notarial act and ensure the certificate, commission expiration and legible seal are complete.
  • Corporate records require the correct issuing official or signer; a general photocopy is not a substitute.

Submit with the destination and return arrangements

  • Include the country of use, original eligible document, current fee and return arrangements using the official request form.
  • Boston's Commissions Section is at One Ashburton Place, Room 1719, Boston, MA 02108. Springfield and Fall River also offer service; check the relevant office before traveling.
  • Boston's counter distinguishes requests of up to three documents from larger submissions — check the official page for current counter rules and pickup arrangements.
  • Mail and counter processing estimates can change; verify current timelines with the office.

State, federal and destination requirements

  • Massachusetts does not authenticate federal or other-state documents.
  • FBI background checks require the federal U.S. Department of State route.
  • The destination and applicable treaty relationship determine whether an apostille or further authentication and legalization is needed.
  • Confirm translation and receiving-office requirements separately — authentication does not guarantee acceptance of the document's contents.
  • Florida remote online notarization may be available for eligible private documents, subject to identity, witness, document and recipient requirements. It follows the applicable Florida route and does not turn a Massachusetts public record into a Florida record.
