New Mexico apostille services and document preparation

Start with the office that holds your New Mexico record. Birth certificates, marriage records, divorce decrees and university credentials require different preparation before authentication. Miami Dade Apostille can review vital, court, school, corporate and notarized private documents and coordinate the appropriate process. Before you start

  1. Identify the document type and the office that issued it.
  2. Confirm the destination country's treaty relationship and the receiving authority's requirements.

Birth and death certificates: eligibility comes first

  • New Mexico birth and death records have restricted access. The registrant, eligible immediate family or someone with tangible proof of legal interest may request them.
  • Use NMHealth's current application and identification guidance.
  • Many public health offices issue birth certificates; call before visiting because availability varies.
  • Death certificate requests go through the Santa Fe office.
  • NMHealth also identifies VitalChek as its authorized online ordering service, with additional charges.
  • Ordering a certificate and obtaining its apostille are separate steps.

Marriage and divorce records have different custodians

  • Request a marriage-license copy from the county clerk where the license was issued.
  • Request a divorce decree from the district court where the order was filed.
  • Explain that you need a certified record for overseas use and identify any related orders requested by the recipient.
  • Living in Albuquerque or Santa Fe now does not change which county or court holds the record.

Use certified public records, not substitute photocopies

  • The Secretary of State authenticates a notarized original or a certified recorded instrument.
  • New Mexico notaries cannot supply substitute copies of birth, death, marriage or other publicly recordable documents.
  • Obtain the appropriate custodian-issued copy.
  • The state attaches its authentication with an eyelet; removing it damages the document and invalidates the authentication.

UNM transcripts and diplomas for overseas use

  • When requesting an official University of New Mexico transcript or diploma, clearly state that it is for apostille.
  • The Registrar's Office obtains the registrar's signature and notarizes the document before releasing it for pickup or mailing to the student.
  • The student then arranges state authentication — allow time for both stages.
  • Use UNM's guidance for preparation of its credentials and the Secretary of State's current instructions for the government submission.
  • Other schools may have different registrar procedures, so confirm preparation directly with the issuing institution.

File the request and deliver the documents

  • Complete the authentication request through the state's online filing service, then include it with the original documents.
  • The published mailing address is 325 Don Gaspar, Suite 300, Santa Fe, NM 87501.
  • Follow current payment and delivery instructions from the SOS website.
  • International returns require a prepaid, addressed international airbill and envelope.
  • Check service availability before visiting.
  • New Mexico issues an apostille or Certificate of Appointment according to the destination; confirm any further legalization with the receiving authority.

Separate federal records and eligible private documents

  • FBI background checks and other federal documents follow the federal authentication route.
  • A public record issued by another state must follow that state's process.
  • Florida remote online notarization may be suitable for eligible private documents, subject to identity, witness, document and recipient requirements.
  • It follows the applicable Florida route and does not replace New Mexico public-record certification.
  • Confirm the destination's requirements for document format, age and translation; authentication does not guarantee acceptance of the contents.
