Ohio apostille services and document preparation

Ohio records begin with different custodians: state vital statistics, a county probate court, a county clerk or your school. Miami Dade Apostille reviews vital, court, school, corporate and notarized private documents and coordinates the appropriate process. We are a private coordinator, not a government office or law firm.

Before you start

  1. Identify the document type and the office that issued it.
  2. Confirm the destination country's treaty relationship and the receiving authority's exact requirements.
  3. Send us a scan for preparation review before committing originals.

Birth and death records: start with Vital Statistics

  • Ohio's Bureau of Vital Statistics maintains birth records from December 20, 1908 and death records from 1971 onward.
  • Use its current certificate-ordering instructions for the record you need.
  • For an earlier event, ask about the appropriate historical custodian rather than assuming the current bureau holds it.
  • Request the certified record required for overseas use, not a personal photocopy.

Marriage and divorce records come from county offices

  • The state Bureau of Vital Statistics does not hold marriage or divorce records.
  • Obtain a certified marriage-license copy from the probate court in the county where the license was issued.
  • Request a divorce decree from the county where the divorce was finalized.
  • Explain which decree and related orders the foreign recipient requests.
  • A present Ohio address does not determine where an older court record is held.

Prepare Ohio State transcripts before authentication

  • At Ohio State, the student must place the transcript order; the university does not accept third-party requests.
  • In the ordering process, use the attachment option asking the university to add information, and attach a letter requesting notarization.
  • Notarized transcripts are sent by first-class mail. Electronic or FedEx delivery selections do not produce a notarized transcript.
  • Confirm grades and the degree have posted before ordering if the recipient needs that information.
  • These procedures apply to Ohio State; other schools may use different registrar workflows.
First-class mail only: Selecting FedEx or electronic delivery in the OSU ordering portal will not produce a notarized transcript. The notarization workflow requires first-class mail.

School records and private documents

  • Ohio's published guidance requires school records and transcripts to be notarized before authentication.
  • Contact the registrar for appropriate preparation.
  • Eligible private documents also need proper Ohio notarization for the Ohio route.
  • Assemble all required pages before authentication and keep the certificate attached afterward; removing and reattaching it invalidates the certification.

Assemble the state request package

  • Use the current Form 8003 and name the destination country.
  • Include the correctly prepared documents, exact payment and a self-addressed stamped envelope or prepaid express return label.
  • The form lists check, money order or credit-card authorization and instructs applicants not to send cash.
  • Confirm current fees and service availability before sending or visiting; allow time for obtaining records and shipping as well as state processing.

Keep federal and other-state documents separate

  • Form 8003 excludes FBI background checks and federal-agency documents from Ohio authentication and directs them to the U.S. Department of State.
  • Another state's official records or notarizations do not qualify for Ohio's process.

Review destination and notarization requirements

  • Confirm whether the applicable destination requires an apostille or authentication with further legalization, and check its translation, format and document-age requirements.
  • Authentication does not guarantee acceptance of the contents.
  • Florida remote online notarization may suit eligible private documents subject to identity, witness, document and recipient requirements. Its applicable Florida route cannot replace Ohio public-record certification.
