Oklahoma Apostille Services

Using an Oklahoma document abroad starts with identifying its issuer and the destination requirements. Miami Dade Apostille helps coordinate document review and processing for birth and death certificates, marriage records, divorce decrees, school records, powers of attorney, affidavits and other eligible documents. Send the document type, issuing location and destination country before mailing originals.

Before you start

  1. Identify the document type and the office that issued it.
  2. Confirm the destination country's treaty relationship and the receiving authority's exact requirements.
  3. Send us a scan for preparation review before committing originals.

Oklahoma certification and recent court copies

  • The Oklahoma Secretary of State issues apostilles and authentications for eligible Oklahoma documents.
  • Its instructions cover original notarized documents and certified records.
  • Marriage licenses, divorce decrees and other court-certified documents must be dated within the past year.
  • Request a current certified copy from the County Court Clerk where the document was issued.
  • The recent-copy requirement does not mean the marriage or court proceeding must have happened recently.
Recent copy, not recent event: The one-year requirement applies to the date on the certified copy, not to when the marriage or court proceeding took place. Request a fresh certified copy of an older record.

Birth and death certificates: order the official record

  • Obtain a certified record through the Oklahoma State Department of Health.
  • Applicant eligibility, identity evidence and any required authorization must be established before release.
  • The state offers mail ordering and online or phone orders through its designated partner.
  • Will Call is pickup for an ordered record, not a walk-in application service.
  • A decorative heirloom certificate is commemorative and should not replace the standard certified birth certificate for legal purposes.
  • Ask the receiving authority which record format it needs before ordering.

University of Oklahoma transcripts

  • OU distinguishes Norman-affiliated programs — including relevant Tulsa and online programs — from OU Health academic programs.
  • Norman-affiliated official transcript orders use Parchment; OU Health students should contact their own academic records team.
  • For apostille purposes, ask specifically about notarized documents. The Registrar provides a notarization service.
  • Students must arrange onward submission to the Oklahoma Secretary of State; an ordinary electronic transcript order is not the same request.
  • Other schools should confirm their own registrar preparation procedure.

Prepare the submission and return delivery

  • For mailed submissions, include the destination country, a contact telephone number or email, and a return address.
  • Check the current fee and permitted payment method; personal checks are not accepted.
  • Confirm current instructions before dispatch.

Notarization and documents from another state

  • Complete any required notarization before submission: the Oklahoma Secretary of State does not notarize documents.
  • It also does not authenticate another state's birth certificate, court certification or notarial act.
  • A prepaid self-addressed return envelope may be included; the state warns that its default USPS return has no tracking information.
  • Choose return arrangements suitable for your deadline and originals.

Federal documents and the destination review

  • FBI background checks follow the federal U.S. Department of State route rather than Oklahoma state processing.
  • Tell us the actual issuing agency, not just where you currently live.
  • We review whether the Apostille Convention applies to the destination relationship or whether an authentication and legalization sequence needs coordination.
  • Confirm language, translation, document age and other acceptance conditions with the receiving authority; an apostille does not guarantee acceptance for every purpose.
