Rhode Island Apostille Services
A Rhode Island document may need a particular official signature before it can be authenticated for overseas use. Miami Dade Apostille coordinates review and processing for birth, death and marriage certificates, divorce decrees, educational records, powers of attorney, affidavits and other eligible documents. Tell us who issued the document and where it will be used before sending originals. If mailing, use a trackable shipping method and keep your tracking number.
Before you start
- Identify the document type and the office that issued it.
- Confirm the destination country's treaty relationship and the receiving authority's exact requirements.
- Send us a scan for preparation review before committing originals.
Order vital records from the state office
- For apostille purposes, Rhode Island Health directs you to its State Office of Vital Records.
- Certificates issued by a city or town cannot be apostilled.
- Appointments are suggested; applicants must establish eligibility and supply identification and a completed application.
- For birth and marriage records more than 100 years old, or death records more than 50 years old, use the State Archives route.
- Tell the issuing office that the record is for overseas authentication.
Check the document-specific signature
- Current state vital records must carry the State Registrar or Deputy State Registrar signature.
- Divorce and custody records come from the Family Court Clerk; other court records need certification from their issuing court.
- Notaries cannot replace official vital or court certification by notarizing a copy.
- For an Attorney General BCI record, request overseas use and the Attorney General office's official signature and seal.
URI, RIC and CCRI have a school-record exception
- Original records from URI, RIC and CCRI may be submitted without notarization when signed by an authorized official and bearing the school seal: the state has the registrars' signatures on file.
- Other school records require proper Rhode Island notarization.
- A notary may copy-certify only an original record issued by an authorized school official.
- Confirm the receiving institution's required format before ordering.
Online application still requires physical delivery
- The online portal lets applicants submit a request and pay, but the original documents must still be mailed to the Department of State.
- The portal normally excludes facsimile signatures, with an exception for properly issued certified copies bearing a raised seal.
- If the document's signature format is unclear, seek the department's pre-clearance before dispatch rather than changing it yourself.
Coordinate the package and return shipment
- Submit the required request, eligible documents and current fee to the address below.
- Staple together the pages of a multi-page document.
- Standard return is USPS first-class mail.
- For expedited or international return, provide a prepaid shipping label; bill-later labels and credit-card details on a label are not accepted.
- The state also offers coordination for Health to send a vital record directly to it; obtain the department's instructions before arranging that option.
Federal documents and destination requirements
- FBI checks and other federal records follow the federal U.S. Department of State route, not Rhode Island state authentication.
- We review the issuer and destination to identify the appropriate process.
- An applicable Apostille Convention relationship can replace diplomatic legalization, while other destinations may require further authentication and consular steps.
- Confirm translation, document age and acceptance conditions with the receiving authority. Certification is not a guarantee that a document satisfies every requirement.
