Public records need issuing-agency certification
- South Dakota requires original seals and signatures.
- Birth, marriage, death, divorce and court records cannot be replaced by a notary's true-copy certification.
- Obtain the issuing agency's certified record.
- Vital copies may be requested through a county Register of Deeds or the Department of Health.
- Court records need the appropriate court certification and seal.
Choose a certified vital record, not an informational copy
- The Department of Health distinguishes certified computer-generated records — which carry security paper, a seal and the issuing official's signature — from informational copies without certification.
- Certified photostatic copies may be available when information on the underlying record is needed.
- Confirm the required format with the overseas recipient before ordering.
- Eligibility and identification requirements still apply; an apostille request does not make a restricted record available to everyone.
- A designated agent must complete the applicable authorization requirements.
School records and private documents
- Diplomas, transcripts, powers of attorney and similar private documents require proper certification and South Dakota notarization for the South Dakota route.
- Ask the school or document preparer about the necessary signature before sending papers for authentication.
Ordering a South Dakota State University transcript
- SDSU offers official transcripts through Parchment, with secure PDF or standard mail delivery, and instructs applicants to select South Dakota Board of Regents.

- Explain the requested authentication and recipient's format requirements.
- An ordinary transcript order and apostille preparation are separate steps; do not assume that choosing electronic delivery supplies the paper certification required for your case.
Prepare the state submission
- The request form asks for the destination country, document types, return address and daytime contact details.
- Verify current fees on the linked form before sending payment.
- International return requires a prepaid, self-addressed envelope.
- The office does not accept incoming or outgoing DHL shipments — arrange another permitted carrier.
Allow time for corrections and delivery
- Submit physical originals or eligible certified documents — not email or fax copies.
- Expedited appointments must be arranged in advance and do not guarantee completion while you wait.
- Ask about current availability, document limits and additional charges before traveling to Pierre.
Federal records follow a different route
- FBI background checks and federal court records belong to the federal authentication process through the U.S. Department of State.
- Follow its preparation instructions for original or certified federal documents; do not notarize the federal original.
- South Dakota processing does not replace federal authentication.
- A packet containing records from multiple issuing authorities may need more than one route.
Confirm the destination's requirements
- An apostille authenticates the document's origin rather than approving its contents or guaranteeing acceptance for every purpose.
- Confirm whether the Apostille Convention applies to the destination and the United States, or whether authentication and consular legalization are needed.
- Ask the receiving office about translations, document age, complete court orders and supporting records before preparing the package.
