Miami Dade Apostille helps clients in Naples, Marco Island and Everglades City prepare documents for use abroad. We coordinate preparation review, the appropriate authentication submission and return. Start with the document requested by the receiving authority: a marriage record, complete court judgment, vital certificate or FBI report can follow a different preparation route.

Start with the issuing authority and destination

  • An apostille authenticates an official signature or seal; it does not verify the contents or guarantee that a foreign recipient will accept a document for every purpose.
  • Confirm the exact record, required language and document age with the receiving authority.
  • Where the Apostille Convention applies with the United States, use the appropriate apostille route.
  • Other destinations may require authentication and additional legalization.
  • A Florida document, an out-of-state record and a federal background check may need different offices even when their owner lives in Collier County.

Florida birth, death and marriage records

  • The Florida Department of State accepts qualifying birth and death certificates bearing the State Registrar's signature from the Bureau of Vital Statistics or county health department.
  • Marriage and dissolution certificates may come from the Bureau or the appropriate court clerk.
  • A notary-certified photocopy cannot replace a properly certified public record.
  • If the recipient asks for a divorce decree, check whether it needs the complete court judgment rather than a vital-record certificate summarizing the event.

Birth certificates and sealed records

  • DOH-Collier offers birth-certificate orders through VitalChek, by mail and in person.
  • Prepare the application with the birth and parent information requested, together with valid, unexpired photo identification; mailed requests need a readable ID copy.
  • Eligibility and supporting-document rules apply.
  • The county directs sealed birth records to the Bureau of Vital Statistics in Jacksonville.
  • For an older record or a special certificate format, confirm availability before placing an order.
  • Authentication does not remove record-access restrictions or correct the underlying record.

Naples Vital Statistics: confirm the delivery address and service cutoff

  • The Health Department is at 3339 Tamiami Trail East in Naples.
  • Its published Vital Statistics mailing block is DOH-Collier, Attn: Vital Statistics, P.O. Box 429, Naples, FL 34106.
  • Contact the certificate desk at 239-252-8205 or [email protected] before mailing or traveling.
  • Confirm the current application destination, certificate-service cutoff and identification requirements.
  • The Health Department and the Clerk are different offices on Tamiami Trail East; sending a vital-record application to the courthouse does not start an apostille request.

Death certificates: choose the required version

  • The county supplies Florida death records from 2009 onward; its guidance sends earlier records to the Bureau of Vital Statistics or VitalChek.
  • Requests for cause-of-death information have additional access restrictions.
  • Confirm whether the overseas recipient needs that information before ordering and provide the required identification and eligibility evidence.
  • A death certificate, a probate order and a document identifying estate representatives are different records; request the item actually named in the foreign instructions.

Ask explicitly for a certified court copy

  • For a court order or judgment, search the Collier court record first.
  • If the document is unavailable online or a certified copy is needed, use the Clerk's case-document request page.
  • It provides separate contacts for Criminal/Traffic and Civil/Probate/Family Law matters.
  • State that you need a certified copy and identify the case and specific document.
  • For a divorce application abroad, establish whether the recipient requires the full judgment instead of a vital-record certificate summarizing the divorce.

ShowCase electronic certification: sign in before filling the cart

  • Collier's court E-Certify instructions say a registered-user login clears the cart, so sign in before choosing documents.
  • Purchased copies omit the online watermark but may retain legally required redactions; some case categories need registration or have access restrictions.
  • The checkout email is used for electronic delivery.
  • The Clerk cautions that some agencies may not accept electronic certification.
  • Confirm the format required by the authentication office and overseas recipient before buying.
  • Electronic certification verifies the Clerk's copy; it is not a Florida apostille.

Marriage records belong to the completed, recorded license

  • After the ceremony, the completed license must be returned to the issuing clerk.
  • Collier records it in Official Records and issues a certified copy; additional certified copies can be requested.
  • A marriage application, unused license or ordinary online printout should not be substituted for certified evidence of the completed marriage.
  • If another county issued the license, start with that county.
  • Tell us the exact document wording supplied by the recipient so the correct certified record can be prepared for authentication.

Clerk offices in Naples and on Marco Island

  • The Clerk lists its main contact address as 3315 Tamiami Trail East, Suite 102, Naples, FL 34112; phone 239-252-2646.
  • Confirm the department before sending a request.
  • Its current location directory lists certified-copy service at the Marco Island office, 50 Bald Eagle Drive, and at Immokalee, 106 South First Street, with 239-213-8213 as the satellite contact.
  • Satellite services and hours vary.
  • Everglades City's service list does not expressly include certified copies, so confirm availability rather than assuming every branch supplies every record.
  • These offices obtain records; they do not issue the Florida apostille.

Private documents, school transcripts and business records

  • Florida public-school or university transcripts need a registrar or issuing official's signature and notarization with a full notarial statement under state guidance.
  • For affidavits, powers of attorney and other private documents, confirm the required signing and notarial certificate before execution.
  • Florida business filings need an original state-issued certified copy or certificate of status rather than a simple online printout.
  • Each item should be reviewed individually so that the certification fits the document being submitted.

Notarization and apostille are different steps

  • Notarization prepares an eligible private document; it does not produce an apostille.
  • We can discuss remote online notarization after checking identity, witnesses, document suitability and recipient requirements.
  • It does not replace official certification of a public record.
  • Confirm preparation before signing or sending originals.

FBI reports follow the federal route

  • An FBI background check is a federal record and goes through the U.S. Department of State authentication process, not a Florida state apostille submission.
  • A local court record is not the same document as an FBI report.
  • If your overseas application asks for several records, share the complete list so we can coordinate state and federal submissions separately and help avoid sending the entire package to the wrong authority.
