Miami Dade Apostille helps clients in Port St. Joe and Wewahitchka prepare documents for use abroad. Start with the exact record requested, its issuing office and the destination instructions. Local certificate counters and Clerk branches have different schedules, so confirm the service before making a trip.
Start with the issuing authority and destination
- An apostille authenticates an official signature or seal; it does not verify the contents or guarantee that a foreign recipient will accept a document for every purpose.
- Confirm the exact record, required language and document age with the receiving authority.
- Where the Apostille Convention applies with the United States, use the appropriate apostille route.
- Other destinations may require authentication and additional legalization.
- A Florida document, an out-of-state record and a federal background check may need different offices even when their owner lives in Gulf County.
Florida birth, death and marriage records
- The Florida Department of State accepts qualifying birth and death certificates bearing the State Registrar's signature from the Bureau of Vital Statistics or county health department.
- Marriage and dissolution certificates may come from the Bureau or the appropriate court clerk.
- A notary-certified photocopy cannot replace a properly certified public record.
- If the recipient asks for a divorce decree, check whether it needs the complete court judgment rather than a vital-record certificate summarizing the event.
Port St. Joe Health Department: Garrison Avenue
- The Port Saint Joe Clinic is at 2475 Garrison Avenue, Port St. Joe, FL 32456.
- Call 850-227-1276 or use [email protected] for general contact.
- The clinic lists weekday hours of 8 a.m.–5 p.m.; confirm certificate service and mailing instructions before sending an application.
- This Health Department office is separate from the Clerk's courthouse on Cecil G. Costin, Sr. Boulevard.
- Clinic medical or WIC schedules should not be substituted for the certificate counter's schedule.
Wewahitchka certificates: first and third Friday
- DOH-Gulf's certificate guidance lists Wewahitchka Vital Statistics on the first and third Friday of each month, 8 a.m.–4 p.m., except holidays.
- Call the certificate-page number, 850-639-2644, to confirm the date and local time before traveling.
- The Wewahitchka clinic is at 807 Highway 22, Wewahitchka, FL 32465.
- Medical appointments on other days do not establish certificate availability.
- This is the Health Department clinic, not the Clerk's annex on North 3rd Street.
Birth records before 1930 or under seal
- DOH-Gulf's birth page directs requests for pre-1930 Florida birth records to the Bureau of Vital Statistics in Jacksonville.
- It also directs records under seal because of adoption, paternity determination or a court order to the Bureau.
- Contact the correct office before ordering a copy for authentication.
- The county can provide amendment forms and Bureau contact information when a Florida certificate needs correction.
- Resolve the underlying record issue first; an apostille does not amend a name or other entry.
Death certificates: local and out-of-county records
- Gulf's death page lists Gulf County deaths from 1962 onward and out-of-county Florida deaths from 2009 onward.
- Confirm availability for the exact year and county before ordering an older record.
- Its application instructions call for identifying details, the applicant's relationship and purpose, signature, mailing address and payment.
- A request showing cause of death also needs a copy of valid photo ID, front and back.
- Confirm the required certificate version with the overseas recipient before requesting confidential information.
Cause-of-death information has separate access rules
- Florida permits adults to request a death certificate without cause-of-death information.
- Cause-of-death information for a death less than 50 years ago is restricted to eligible requesters or properly authorized representatives, with identification and supporting documents as applicable.
- Social Security number protection continues regardless of the date of death.
- Ask the receiving authority whether it actually needs cause-of-death information, then follow the appropriate release instructions.
- Apostille processing does not remove these privacy restrictions.
Port St. Joe Clerk: Eastern Time and department routing
- The Gulf County Courthouse is at 1000 Cecil G. Costin, Sr. Boulevard, Port St. Joe, FL 32456.
- Call 850-229-6112 or 850-639-5068; the main office lists Monday–Friday, 9 a.m.–5 p.m. Eastern Time.
- The contact page's mailing block specifies Room 148, while its footer lists Room 149; confirm the room and division before mailing originals.
- Recording and marriage use extensions 2304 or 2315; Family Law uses 2314.
- The Clerk obtains and certifies local records; the Florida Department of State handles the apostille.
Do not mail documents to the Wewahitchka Clerk annex
- The Clerk's annex is at 153 N 3rd Street, Wewahitchka, FL 32465, with Friday-only hours of 8 a.m.–3:30 p.m. Central Time.
- Call 850-639-2175 to confirm the needed service.
- The Clerk explicitly says this annex has no mail receptacle.
- Use the confirmed Port St. Joe mailing instructions instead.
- Allow for the time-zone difference when arranging a visit or coordinating with our Miami offices.
Finding recorded documents when book and page are unknown
- Recording holds marriage licenses, deeds, mortgages and other recorded instruments.
- The Clerk offers public computers and index books when you do not know the book and page, and staff can assist with a search.
- Identify the instrument first, then request certification in the required format.
- A records-search result or ordinary copy is not automatically a certified public document.
- Court case documents and recorded instruments use different searches; check the right record category rather than treating a missing online result as proof that no record exists.
Electronic certification: check the record category and format
- The Gulf-specific Clerk E-Certify order page offers electronically certified Official Records with email delivery.
- That recorded-instrument service does not establish that every document in a court case can be ordered electronically.
- Contact the relevant court division for a judgment or other case record.
- Before purchasing a certified file, confirm the format required by the authentication office and overseas recipient.
- Preserve the original electronic file; printing a PDF does not automatically satisfy every apostille requirement, and the Clerk's certification is not itself an apostille.
Four certified marriage copies after the completed license returns
- Gulf's marriage page states that four certified copies are provided after the completed license is returned for recording; additional certified copies may be requested.
- For overseas proof, confirm that the marriage has been completed and recorded.
- The original application or a license awaiting the ceremony is a different document.
- Begin with the clerk that issued the license, even if the ceremony happened in another county.
- Ask the recipient whether it needs a recorded marriage copy or a Bureau certificate before arranging authentication.
Request the exact court disposition, judgment or sentence
- For a felony case disposition, the Clerk advises contacting the office; inactive files may be stored off-site.
- Its published mail instructions for a judgment and sentence request use the Criminal Division at the Port St. Joe courthouse, with payment and a self-addressed stamped envelope.
- Confirm the case, exact document, page count, certification and current payment instructions with that division first.
- Do not substitute a docket printout for a requested certified judgment, or assume this felony-copy procedure applies to every court record.
Private documents, school transcripts and business records
- Florida public-school or university transcripts need a registrar or issuing official's signature and notarization with a full notarial statement under state guidance.
- For affidavits, powers of attorney and other private documents, confirm the required signing and notarial certificate before execution.
- Florida business filings need an original state-issued certified copy or certificate of status rather than a simple online printout.
- Each item should be reviewed individually so that the certification fits the document being submitted.
Notarization and apostille are different steps
- Notarization prepares an eligible private document; it does not produce an apostille.

- It does not replace official certification of a public record.
- Confirm preparation before signing or sending originals.
FBI reports follow the federal route
- An FBI background check is a federal record and goes through the U.S. Department of State authentication process, not a Florida state apostille submission.
- A local court record is not the same document as an FBI report.
- If your overseas application asks for several records, share the complete list so we can coordinate state and federal submissions separately and help avoid sending the entire package to the wrong authority.
